Job Description: Logistics Coordinator/ Logistics Support Specialist – QATOL Lubricants
- Reports To: General Manager
Job Summary
To have a specialized experience in the lubricants manufacturing industry, specifically managing the import of raw materials (base oils and additives) and the export of finished lubricant products.
Key Responsibilities
- Inbound Logistics: Raw Material Import (Base Oils & Additives)
o Coordinate the end-to-end import process for bulk base oils and packaged additives (via tankers, flexi, IBCs, and drums).
o Liaise professionally with international suppliers, freight forwarders, and shipping lines to secure vessel bookings and track inbound shipments.
o Ensure that all import documentation (B/L, Commercial Invoices, Packing Lists, COO) is accurate and received in a timely manner.
o Work closely with customs and clearance agencies to ensure timely and smooth clearance of raw materials, ensuring compliance with local import regulations and HS code classifications.
o Find the best routes during crisis times and provide efficient logistic solutions.
o Coordinate to schedule receiving and offloading of raw materials to prevent demurrage or detention charges.
o Ensure the best cost is achieved by optimizing the supply channel and ensure duty and actual fees are charged at their minimum.
- Outbound Logistics: Finished Goods Export
o Manage the FG export shipping process to international distributors and direct customers.
o Process all necessary export documentation, including Commercial Invoices, Packing Lists, Certificates of Origin, and specialized regulatory documents as required by the destination country.
o Negotiate rates and book cargo with freight forwarders, shipping lines, and transport companies.
o Ensure compliance with international shipping regulations and deal with weight limitations.
o Provide customers and the internal sales team with accurate shipping schedules, container tracking updates, and delivery forecasts.
- General Logistics & Administrative Support
o Maintain accurate logistics data to ensure real-time visibility.
o Maintain record of freight invoices, customs duties, and broker fees, and recall the documents whenever needed.
o Monitor logistic partners' performance and prices.
o Collaborate with the Production Planning team to align outbound shipments cut-off dates with the with the manufacturing schedules.
Qualifications & Requirements
Education:
- BSc degree in Supply Chain Management, Logistics, Business Administration, or a related field.
Experience:
- Minimum of 3–5 years of experience in international logistics, import/export operations, or freight forwarding.
- Must have prior experience in the lubricants, petrochemical, or specialty chemicals industry.
Knowledge & Skills:
- Deep understanding of Incoterms 2020 and international shipping regulations.
- Familiarity with customs clearance procedures for chemical and petroleum products.
- Strong problem-solving, and negotiation skills.
- Ability to work well under pressure to meet tight shipping and production deadlines.
