We are currently looking for a Marine Admin Assistant to support our marine operations and administrative activities. The ideal candidate should be organized, detail-oriented, and capable of handling administrative coordination within a fast-paced marine/offshore environment.
🔹 Job Responsibilities:
✅ Provide daily administrative support to marine and offshore operations
✅ Prepare, organize, and maintain marine personnel records and documentation
✅ Coordinate crew mobilization, travel arrangements, accommodation, and logistics
✅ Assist in preparing reports, timesheets, invoices, and operational documents
✅ Maintain filing systems, database records, and document control procedures
✅ Coordinate with vessel teams, clients, suppliers, and recruitment departments
✅ Monitor validity of crew documents, certificates, and licenses
✅ Handle email correspondence, telephone inquiries, and internal communication
✅ Support onboarding and deployment activities for marine personnel
✅ Assist management with scheduling meetings, reports, and operational updates
✅ Ensure all documentation is updated and submitted on time
✅ Support HR and recruitment activities when required
🎯 Qualifications & Requirements:
✔ Previous experience in administration, marine, shipping, offshore, or logistics industry preferred
✔ Bachelor’s degree or diploma in Business Administration, Maritime Studies, or related field is an advantage
✔ Good communication and coordination skills
✔ Strong organizational and multitasking abilities
✔ Proficient in Microsoft Office applications (Word, Excel, Outlook)
✔ Ability to work under pressure and meet deadlines
✔ Knowledge of marine documentation and crew coordination is an advantage
✔ Good English communication skills
