Job Description/Specification:
An experienced Timekeeper is responsible for maintaining accurate employee attendance records, monitoring workforce deployment and ensuring that approved timesheets are submitted to HR and Payroll within the required deadlines. This role is particularly relevant to large-scale projects in construction, industrial operations, oil and gas, and manpower outsourcing.
The position requires strong attention to detail, proficiency in Microsoft Excel and experience reconciling biometric attendance data, manual timesheets and supervisor-approved attendance reports. The successful candidate will help ensure that employee working hours, overtime entries and deployment records are accurately documented to support payroll processing and attendance audits.
Key Responsibilities
1. Reconcile Employee Attendance Records
The Timekeeper will compare biometric attendance records, manual timesheets and supervisor-approved attendance reports to identify discrepancies and maintain accurate records of employee working hours.
Any differences between recorded attendance and submitted timesheets must be investigated and resolved in coordination with the relevant site supervisors.
2. Maintain Workforce Deployment Records
The role involves maintaining up-to-date employee deployment information across projects and work locations. Records must be organized by project, location, shift and cost centre to provide an accurate overview of workforce allocation.
The Timekeeper will also track employee joining dates, transfers, demobilizations and last working days to ensure that workforce records reflect current deployment status.
3. Prepare Manpower and Attendance Reports
Preparing regular workforce reports is an important part of the position. Responsibilities include generating daily manpower reports and compiling weekly and monthly attendance summaries.
These reports help management monitor workforce availability, attendance patterns and deployment across project locations.
4. Verify Overtime and Resolve Discrepancies
The successful candidate will check overtime entries against the relevant approvals and confirm that recorded hours are supported by authorized information.
Any discrepancies must be discussed with site supervisors and corrected before timesheets are finalized. A clear understanding of shift schedules, overtime calculations and timesheet reconciliation is essential for this responsibility.
5. Submit Approved Timesheets to Payroll
The Timekeeper must ensure that accurate and approved timesheets reach HR and Payroll within established deadlines.
Timely submission is important to support payroll processing and reduce errors arising from missing attendance records, incorrect overtime entries or incomplete approvals.
6. Maintain Confidential Records and Support Audits
The role requires maintaining confidential employee attendance and deployment records. The Timekeeper will also support payroll-related queries and attendance audits by providing accurate documentation and helping verify recorded working hours.
Careful recordkeeping and consistent documentation practices are essential to maintaining reliable attendance information.
