Job Overview

Al-Futtaim Automotive is seeking a detail-oriented Sales Administrator to support vehicle sales operations through effective coordination, reporting, documentation management, inventory control, and invoicing processes. The successful candidate will play a key role in ensuring seamless vehicle sales and delivery operations while maintaining compliance with company standards and industry requirements.

Key Responsibilities

Sales Reporting & Administration

  • Prepare and submit daily, weekly, and monthly sales reports.
  • Maintain accurate sales records and update dealership management systems.
  • Ensure timely report submission with complete data accuracy.
  • Support sales teams with administrative and operational requirements.

Inventory & Stock Management

  • Monitor and maintain inventory records for new vehicles, transfers, demo vehicles, and damaged units.
  • Manage stock uploads and inventory updates through SAP and internal systems.
  • Ensure inventory accuracy and proper vehicle tracking.

Invoicing & Documentation

  • Review sales deals, discounts, and financial documentation.
  • Generate customer invoices following finance approvals.
  • Ensure error-free invoicing and adherence to service-level agreements.
  • Manage end-to-end sales documentation with high accuracy.

Logistics & Vehicle Delivery Coordination

  • Track vehicle shipments and freight documentation.
  • Coordinate vehicle inspections, pre-delivery services, and repairs.
  • Manage freight, duty, vendor invoices, and goods receipt processes.
  • Ensure timely vehicle deliveries without operational delays.

Insurance & Registration Support

  • Process vehicle insurance issuance and amendments.
  • Coordinate registration and renewal activities.
  • Support customer vehicle handover requirements.

Operational Support

  • Manage showroom administrative activities and customer inquiries.
  • Maintain petty cash records and office supplies.
  • Support multiple departments during staff absences.
  • Coordinate with sales, finance, logistics, and after-sales teams to ensure smooth operations.

Requirements

Education

  • Bachelor's Degree or Diploma in Business Administration, Commerce, Accounting, or a related field.

Experience

  • 2 to 4 years of experience in Sales Administration, Sales Support, or Administrative Operations.
  • Experience in automotive dealership operations is highly preferred.
  • Knowledge of vehicle sales processes, inventory management, and invoicing procedures.

Technical Skills

  • Advanced Microsoft Excel proficiency.
  • Experience working with ERP systems and SAP.
  • Strong reporting and data management capabilities.
  • Excellent documentation and record-keeping skills.
