Job Description/Specification:

An Administrative Assistant in Qatar's aviation and airport operations sector provides essential administrative, secretarial, and document-control support within a fast-paced operational environment. This position supports a large-scale, 24-hour catering operation and requires excellent organization, confidentiality, communication, and attention to detail.

The role is suited to an organized professional who can manage multiple priorities, coordinate meetings and travel arrangements, handle correspondence, and provide reliable administrative support to management.

💼 Key Responsibilities

  • Provide day-to-day administrative and secretarial support to the department and management team.
  • Coordinate administrative activities, conduct basic research, and follow up on assigned requests.
  • Handle telephone calls, inquiries, correspondence, and requests, directing them to the appropriate department when required.
  • Review incoming mail and correspondence and determine whether management action is required.
  • Schedule meetings, appointments, travel itineraries, hotel bookings, and related arrangements.
  • Provide administrative support for meetings and prepare required documents, materials, and charts.
  • Draft letters, internal memos, reports, and routine or confidential correspondence.
  • Maintain confidential records and documents with appropriate discretion.
  • Check incoming documents for completeness and accuracy before forwarding them for approval.
  • Maintain document-control records and correspondence associated with the Manager's office.
  • Respond professionally to complaints and requests for information within the scope of the position.
  • Coordinate office supplies and stationery purchases and help maintain office equipment.
  • Provide telephone backup coverage and support other departmental administrative requirements.
  • Perform additional administrative duties as directed by the Head of Department.

🎯 Requirements

  • High School qualification, vocational qualification, diploma, or Bachelor's degree or equivalent.
  • Candidates with a Bachelor's degree or equivalent may be considered without prior job-related experience.
  • Candidates with High School, vocational, or diploma qualifications should have at least 2 years of relevant experience.
  • Fluent spoken and written English.
  • Excellent organizational and administrative skills.
  • Strong attention to detail and follow-up ability.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Ability to work independently and as part of a team.
  • Professional communication skills when dealing with internal and external stakeholders.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong problem-solving and coordination skills.
  • Quality-conscious approach to administrative work.
  • Familiarity with Microsoft Word, Excel, PowerPoint, and Access is preferred.

🚀 Why You'll Love This Opportunity

  • Work within a major aviation and airport operations environment in Doha.
  • Gain experience supporting a large-scale, 24-hour catering operation.
  • Develop administrative and secretarial experience in an international workplace.
  • Work closely with management and multiple internal departments.
  • Build transferable skills in document control, correspondence, scheduling, reporting, and office administration.

👤 Who Should Apply?

This opportunity is suitable for an Administrative Assistant, Secretary, Office Administrator, Personal Assistant, or administrative professional who is highly organized and comfortable handling several responsibilities at once.

Aviation or catering experience is not necessarily the central requirement. Strong administrative ability, professional communication, attention to detail, confidentiality, and the ability to work under pressure are particularly relevant.

Candidates should be comfortable interacting with management and colleagues, managing confidential documents, arranging meetings and travel, and following up on outstanding tasks without requiring constant supervision.

⭐ Skills That Will Help You Succeed

The position combines administrative coordination, secretarial support, document control, communication, and office management.

Important skills include Microsoft Office, professional email and correspondence writing, meeting coordination, diary and appointment management, travel arrangements, document organization, record keeping, telephone etiquette, and information handling.

Strong follow-up skills are especially important. The successful candidate may be responsible for several requests simultaneously and must ensure that documents, approvals, meetings, and other administrative actions are completed on time.

Confidentiality is another key requirement because the position involves handling sensitive management information.

💡 How to Stand Out

Your CV should clearly demonstrate administrative responsibilities and organizational achievements.

Highlight:

  • Administrative or secretarial experience.
  • Experience supporting managers or department heads.
  • Meeting and appointment coordination.
  • Travel and hotel arrangement experience.
  • Correspondence and report preparation.
  • Document control and record management.
  • Confidential-information handling.
  • Microsoft Office proficiency.
  • Experience managing multiple priorities.
  • Customer or stakeholder communication.
  • Experience working in aviation, airport operations, catering, hospitality, or another 24-hour operational environment, if applicable.

If you have improved an administrative process, reduced document-processing delays, managed a high volume of correspondence, or supported multiple managers, include these achievements with measurable details where possible.

🎤 Interview Preparation

Expect questions about administrative organization, confidentiality, communication, time management, and handling pressure.

You may be asked how you would prioritize several urgent requests from different managers, deal with confidential documents, organize a last-minute meeting, or respond to an important telephone inquiry while handling another task.

Prepare examples demonstrating your ability to remain organized when priorities change quickly.

You may also be asked about Microsoft Office. Be ready to explain your practical experience with Word, Excel, PowerPoint, and document management rather than simply listing the programs on your CV.

📈 Career Growth

Administrative professionals can progress into positions such as Senior Administrative Assistant, Executive Secretary, Personal Assistant, Office Administrator, Administration Coordinator, or administrative-management roles.

Experience within aviation and airport operations can also provide opportunities to develop specialist knowledge of operational administration, document control, coordination, and departmental support.
