Job Description/Specification:

The Vendor Support Associate role focuses on managing the customer journey after a purchase, including returns, warranty claims, repairs, refunds, exchanges, and vendor coordination. Based in Qatar, this position sits at the intersection of customer service, e-commerce operations, merchant management, and after-sales support.

It is a strong fit for an organized early-career professional who can manage multiple cases simultaneously while coordinating effectively with customers, vendors, internal teams, and authorized service centers.

💼 Key Responsibilities

  • Manage post-sale cases involving returns, exchanges, refunds, warranty claims, DOA products, missing accessories, and repairs.

  • Track cases from initial escalation through final resolution while meeting established SLAs.

  • Coordinate between customers, customer service teams, merchants, vendors, and authorized service centers.

  • Manage warranty repairs, including collection, repair status, turnaround times, and product return.

  • Coordinate the return-to-vendor (RTV) process, including documentation, approvals, credits, and replacements.

  • Keep customers informed about case progress and expected resolution timelines.

  • Identify recurring product defects, high return rates, and vendor service issues.

  • Share post-sale findings with Commercial and Buying teams to support vendor reviews and commercial decisions.

  • Maintain vendor policies, warranty terms, service-center information, and relevant SOPs.

  • Monitor post-sale performance through reports and dashboards covering returns, resolution times, warranty claims, and SLA compliance.

  • Conduct basic root-cause analysis and recommend improvements to recurring post-sale problems.

  • Identify opportunities to automate ticket management, customer updates, and vendor communications.

🎯 Requirements

  • Up to 1 year of experience in customer support, after-sales service, vendor management, or partner coordination.

  • E-commerce, electronics retail, marketplace, or quick-commerce experience is advantageous.

  • Understanding of returns, warranties, repairs, refunds, and replacement processes.

  • Strong written and verbal communication skills.

  • Ability to coordinate multiple internal and external stakeholders.

  • Good Excel or Google Sheets skills and confidence working with operational data.

  • Familiarity with ticketing or CRM systems is beneficial.

  • Highly organized with strong attention to detail.

  • Ability to manage numerous open cases without losing track of deadlines.

  • Customer-focused approach combined with commercial awareness.

  • Fluent English is required; Arabic is an advantage.

  • Based in Qatar or willing to relocate.

🚀 Why This Opportunity Stands Out

  • The position provides practical exposure to e-commerce marketplace operations and after-sales management.

  • You will work across customer service, vendors, commercial teams, and authorized service centers.

  • The role combines customer-facing coordination with reporting, process improvement, and operational analysis.

  • There is an opportunity to develop skills in dashboards, SOPs, vendor performance, and marketplace processes.

  • The position can provide valuable experience in a rapidly evolving technology and commerce environment.

👤 Who Should Apply?

This role is particularly suitable for early-career professionals who have worked in customer service, retail operations, e-commerce support, after-sales service, or vendor coordination.

The ideal candidate is highly organized and comfortable following up repeatedly until an issue is resolved. They should be able to communicate professionally with customers while also maintaining productive relationships with vendors and service centers.

Candidates who enjoy investigating why problems happen—not simply closing individual tickets—will find the process-improvement side of the role particularly relevant.

💡 How to Stand Out

For an entry-level role, your CV should focus on relevant transferable experience rather than job titles alone.

Highlight experience handling customer complaints, coordinating returns, communicating with suppliers, tracking service requests, processing refunds, or managing large numbers of customer cases.

If you have used Excel, include practical skills such as pivot tables, lookups, data cleaning, reporting, or dashboard creation. Experience with Power BI or Looker Studio can also strengthen your profile.

Candidates with exposure to brands such as Apple, Samsung, HP, or other electronics manufacturers should mention experience coordinating with authorized service centers where applicable.

Quantify your work whenever possible—for example, number of cases handled, response-time improvements, customer satisfaction results, or monthly ticket volumes.

🎤 Interview Preparation

Interviewers may focus on customer handling, organization, vendor coordination, and analytical thinking.

Potential questions include:

  • How would you handle a customer whose warranty repair is delayed?

  • How would you improve a returns or warranty process?

  • What Excel functions or reporting tools have you used?

Prepare examples that show patience, ownership, accurate follow-up, and your ability to turn operational problems into practical solutions.

📈 Career Growth

Experience in vendor and post-sale operations can lead toward roles such as Senior Vendor Support Associate, After-Sales Specialist, Marketplace Operations Specialist, Vendor Operations Manager, Customer Experience Specialist, or E-Commerce Operations Manager.
