Al Waha For Cars Automotive To be discussed

Job Description/Specification:

An automotive company in Qatar is looking for an experienced Admin Executive to support daily administrative and operational activities. This role requires more than general office administration, as the successful candidate must understand automotive-related documentation and coordinate with departments such as Sales, Aftersales, Service, Parts, Finance, HR, and Operations.

For professionals with previous automotive industry experience and strong organizational skills, this position offers an opportunity to build further experience in dealership and vehicle-related business operations.

Key Responsibilities

  • Manage daily administrative activities and provide reliable support to the department.
  • Maintain organized records, reports, correspondence, and business documentation.
  • Prepare letters, spreadsheets, presentations, reports, and other documents required by management.
  • Coordinate administrative requirements between Sales, Aftersales, Service, Parts, Finance, HR, and Operations.
  • Maintain accurate vehicle, customer, invoice, purchase order, and service-related records.
  • Support vehicle registration, insurance, renewals, permits, and other automotive administrative processes.
  • Coordinate with customers, suppliers, government authorities, and external service providers when required.
  • Prepare and submit documentation related to vehicle sales, servicing, and aftersales activities.
  • Track outstanding administrative requests and follow up with relevant departments to ensure timely completion.
  • Maintain effective physical and electronic filing systems and prepare regular administrative updates for management.

Requirements

  • Previous experience as an Admin Executive, Administrative Coordinator, or similar position.
  • Mandatory experience in the automotive industry.
  • Practical understanding of automotive administrative and documentation processes.
  • Experience coordinating with Sales, Service, Parts, Aftersales, Finance, and Operations teams.
  • Strong organizational and document-management skills.
  • Good written and verbal communication abilities.
  • Proficiency in Microsoft Office applications, including Word and Excel.
  • Ability to maintain accurate records and handle confidential business information appropriately.
  • Strong follow-up skills and the ability to manage multiple administrative tasks simultaneously.
  • Professional approach when dealing with customers, suppliers, government authorities, and internal stakeholders.

Why You'll Love This Opportunity

  • Develop your career within the automotive sector in Qatar.
  • Gain broader exposure to vehicle sales, service, aftersales, and administrative operations.
  • Work closely with multiple business functions and build valuable cross-departmental experience.
  • Develop expertise in automotive documentation, registration, insurance, and operational processes.
  • Gain experience supporting management and business operations in a fast-paced environment.

Who Should Apply?

This position is specifically suited to administrative professionals who already have automotive industry experience.

Candidates who have worked in vehicle dealerships, automotive distributors, service centers, workshops, or related mobility businesses may be particularly well suited. Experience dealing with vehicle documentation, registration, insurance, customer records, invoices, service paperwork, or government-related automotive processes can strengthen your profile.

The ideal candidate should be highly organized and comfortable managing several tasks at the same time. You should also be confident communicating with different departments and following up on pending requirements without constant supervision.

Skills That Will Help You Succeed

The most useful skills for this role include:

  • Automotive administration
  • Document and records management
  • Vehicle registration and insurance coordination
  • Microsoft Word and Excel
  • Administrative reporting
  • Internal and external coordination
  • Customer and supplier communication
  • Filing and document control
  • Time and priority management
  • Follow-up and task tracking

How to Stand Out

The most important point on your CV should be your automotive industry experience. Clearly identify the type of automotive business you worked for and the administrative responsibilities you handled.

Rather than simply writing "handled administration," describe your involvement with vehicle sales documentation, service records, registration, insurance, purchase orders, invoices, customer files, government documentation, or aftersales administration.

If you supported a high volume of vehicles, customers, service requests, or documents, include those numbers. Examples such as reducing pending documentation, improving filing accuracy, speeding up registration processes, or managing records for multiple departments can demonstrate your effectiveness.

Interview Preparation

Prepare for questions such as:

  • What automotive administrative experience do you have?
  • Which vehicle-related documents have you handled?
  • What is your experience with registration and insurance processes?
  • How do you manage documentation for multiple vehicles or customers?
  • How do you coordinate between Sales, Service, Parts, and Finance?
  • How do you ensure important documents are not missed or delayed?
  • Tell us about a time you resolved an administrative problem.

Be prepared to explain actual automotive processes you have handled rather than giving only general examples of office administration.

Career Growth

An automotive Admin Executive role can lead to positions such as Senior Admin Executive, Sales Administrator, Service Administrator, Sales Coordinator, Operations Coordinator, Dealership Administrator, or Automotive Operations Executive. With broader experience, professionals can progress toward supervisory and dealership operations roles.
