QNB Group is seeking a highly organized and professional Secretary to provide executive-level administrative and secretarial support to the Senior Leadership Team. This role is ideal for an experienced administrative professional who excels at managing executive schedules, coordinating travel, organizing meetings, and handling confidential correspondence while maintaining the highest standards of professionalism and efficiency.


About This Role

As a Secretary, you will play a vital role in supporting senior executives by managing day-to-day administrative operations, coordinating internal and external communications, arranging business travel, organizing meetings, and preparing presentations and reports. You will act as a key liaison between departments, Head Office, clients, and senior stakeholders while ensuring smooth office operations and delivering exceptional executive support.


Key Responsibilities

Executive & Administrative Support

  • Provide comprehensive secretarial and administrative support to the Senior Leadership Team.
  • Prepare business correspondence, reports, presentations, meeting agendas, and documentation.
  • Assist with general branch administration and daily office operations.
  • Anticipate executive needs and proactively resolve administrative issues.

Calendar & Travel Management

  • Manage complex executive calendars and prioritize appointments.
  • Arrange domestic and international travel, including flights, hotels, transportation, and travel itineraries.
  • Prepare travel documentation and supporting materials for business trips.
  • Coordinate executive schedules to maximize efficiency.

Meetings & Communication

  • Organize internal and external meetings, client appointments, video conferences, and management events.
  • Prepare meeting materials and presentation documents.
  • Handle incoming and outgoing correspondence, emails, and courier services.
  • Maintain effective communication between the Branch, Head Office, and external stakeholders.

Executive Coordination

  • Support senior management during official visits and VIP events.
  • Coordinate travel logistics, schedules, and meeting arrangements for visiting executives.
  • Build strong working relationships with internal departments to facilitate efficient operations.
  • Ensure confidential information is handled with discretion and professionalism.

Minimum Requirements

Education

  • Bachelor's Degree.

Experience

  • Minimum 5 years of professional experience, including at least 2 years supporting senior executives or leadership teams.
  • Previous experience as an Executive Secretary, Personal Assistant (PA), or Executive Assistant.
  • Experience within the banking, financial services, or other service-oriented organizations is preferred.
