Job Description/Specification:
Oceaneering is seeking a highly organized and proactive Operations Coordinator to support personnel logistics, workforce planning, mobilization, and operational coordination within its Integrity Management & Digital Solutions (IMDS) division. This role is responsible for ensuring the timely mobilization and deployment of personnel while coordinating training, certifications, travel, accommodation, and operational documentation to support project delivery across the region.
About This Role
As an Operations Coordinator, you will play a key role in managing personnel movements, coordinating with HR and Global Mobility, supporting recruitment activities, and ensuring employees meet all client and regulatory requirements before mobilization. You will also assist with workforce planning, rotation scheduling, competency management, timesheet administration, and operational reporting while maintaining compliance with company HSE and quality standards.

Key Responsibilities
Personnel Mobilization & Logistics
- Coordinate personnel mobilization and demobilization with Global Mobility to meet project schedules.
- Arrange visas, medical examinations, travel requirements, and mandatory pre-deployment documentation.
- Coordinate accommodation arrangements, prioritizing company staff housing whenever possible.
- Manage personnel rotation schedules to ensure efficient workforce utilization.
- Coordinate workforce sharing with regional operations teams to maximize personnel availability.
Training & Competency Management
- Coordinate competency assessments, certifications, and training renewals.
- Arrange client-specific inductions, gate passes, and HSE orientation programs.
- Ensure all employee training records and certifications are uploaded and maintained within the SumTotal learning management system.
- Monitor mandatory training compliance before project mobilization.
Operations & Administrative Support
- Support Operations Managers with recruitment administration, including Recruitment Approval Forms (RAF) and New Hire Forms (NHF).
- Prepare project documentation and personnel lists for client approvals.
- Assist with permanent and temporary employee exit documentation.
- Raise purchase requisitions through PeopleSoft for management approval.
- Train employees on Crew Time and PeopleSoft time and expense reporting systems.
- Prepare operational reports and support HR with personnel movement records.
Compliance, Quality & HSE
- Report Health, Safety & Environment (HSE) observations when required.
- Identify and report Cost of Poor Quality (COPQ) opportunities for continuous improvement.
- Support quality improvement initiatives and ensure compliance with company procedures.
- Maintain accurate personnel and project documentation in accordance with company standards.
Minimum Requirements
- Bachelor's degree in Project Management, Business Administration, or a related discipline, or equivalent work experience.
- Previous experience in operations coordination, personnel logistics, workforce planning, or project administration.
- Experience coordinating employee mobilization and travel logistics.
- Strong knowledge of Microsoft Office applications.
- Basic understanding of Non-Destructive Testing (NDT) or Integrity Management operations is an advantage.
- Experience using HR, ERP, or workforce management systems such as PeopleSoft, SumTotal, or similar platforms is preferred.
