Job Description/Specification:
We are seeking an experienced and detail-oriented Tender Specialist to manage and coordinate the complete tender administration process, from tender invitation through final submission.
The role will support the Commercial Department by preparing tender documentation, coordinating with internal teams, contractors and consultants, monitoring deadlines, and ensuring all submissions comply with company procedures and client requirements.
Key Responsibilities
Tender Administration
- Manage the end-to-end tender process from invitation through submission.
- Prepare, review, compile, and organize technical and commercial tender documents.
- Track tender deadlines and ensure submissions are completed accurately and on time.
- Maintain tender registers, correspondence, records, and document databases.
- Coordinate the issuance and receipt of tender documents with clients, consultants, and contractors.
Bid Coordination & Evaluation
- Receive, register, and maintain contractor bids according to established procedures.
- Monitor bid bonds, bank guarantees, and guarantee letters for validity and compliance.
- Coordinate tender clarifications between contractors and project teams.
- Consolidate contractor queries and prepare formal correspondence.
- Assist with technical and commercial bid evaluations.
- Prepare bid comparisons, summaries, analytical reports, and recommendations.
- Support post-tender clarifications and commercial negotiations when required.
- Maintain strict confidentiality throughout the tendering process.
Commercial & Department Coordination
- Coordinate with Engineering, Procurement, Finance, Project Management, and other departments.
- Collect required technical, financial, and commercial information for tender submissions.
- Ensure tenders comply with contractual requirements, company policies, and client specifications.
- Monitor compliance with procurement and tender procedures.
Reporting & Document Control
- Prepare tender status reports, dashboards, presentations, and management updates.
- Maintain accurate documentation for audit and future reference.
- Archive completed tenders according to document-control procedures.
- Support continuous improvement of tender administration and documentation processes.
Qualifications & Experience
- Bachelor’s degree in Commerce, Business Administration, Finance, Economics, or a related discipline.
- Minimum 5–7 years of experience in tender administration, procurement, contracts administration, or commercial operations.
- Experience within construction, engineering, infrastructure, real estate, or consultancy is preferred.
- Familiarity with government and private-sector tendering processes is an advantage.
- Procurement or Tender Management certification would be beneficial.
Technical Skills
- Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, formulas, and reporting.
- Strong proficiency in Microsoft Word and PowerPoint.
- Experience with ERP systems such as SAP, Oracle, or equivalent is an advantage.
- Familiarity with electronic document management systems.
- Strong ability to prepare commercial reports, presentations, bid comparisons, and analytical summaries.
Key Competencies
Strong attention to detail, organization, analytical thinking, confidentiality, commercial awareness, and deadline management are essential. Candidates should be comfortable coordinating with multiple stakeholders and managing several tender activities simultaneously in a fast-paced environment.
