QNB Group is seeking a detail-oriented Administrative Support Officer – Operations Control & Quality Assurance to provide essential administrative and operational support within its Operations division. This role is ideal for organized professionals with experience in document management, office administration, records management, and logistics support who can ensure smooth day-to-day operations while maintaining high standards of accuracy and confidentiality.

The successful candidate will support document processing, filing systems, mail coordination, office supply management, and administrative activities in accordance with the bank's operational procedures and compliance standards.

About This Role

As an Administrative Support Officer, you will be responsible for maintaining physical and electronic records, managing document scanning and retrieval, coordinating internal and external mail, and ensuring office supplies are available for daily operations. You will work closely with internal departments, vendors, and service providers while supporting operational efficiency through effective administrative practices.

This role requires excellent organizational skills, attention to detail, and the ability to manage multiple routine administrative tasks in a highly regulated banking environment.

Key Responsibilities

📁 Document & Records Management

✅ Scan, organize, and archive business documents accurately.

✅ Maintain physical and electronic filing systems.

✅ Retrieve files and records promptly upon authorized requests.

✅ Ensure documents are indexed and stored according to internal procedures.

📬 Mail & Administrative Coordination

✅ Manage incoming and outgoing internal and external mail.

✅ Coordinate document dispatch and deliveries through mail services.

✅ Maintain mail tracking records and delivery logs.

📦 Office Supplies & Inventory

✅ Raise office supply and stationery requests through internal procurement systems.

✅ Monitor stock levels and coordinate replenishment when required.

✅ Verify deliveries from vendors and ensure proper storage or distribution.

📊 Administrative Support

✅ Assist departments with routine administrative activities.

✅ Maintain accurate operational records and documentation.

✅ Support meetings, logistics, and general office coordination when required.

🛡️ Compliance & Operational Support

✅ Ensure compliance with company policies, banking regulations, and document handling procedures.

✅ Maintain confidentiality of sensitive information.

✅ Complete mandatory compliance and operational training.

Minimum Requirements

🎓 Education

  • Bachelor's Degree in Business Administration, Management, Commerce, or a related field.

💼 Experience

  • Minimum 1 year of experience in administrative support, office administration, records management, or a similar role.
  • Experience in banking, financial services, or corporate environments is an advantage.
  • Experience supporting office logistics, document control, or administrative operations is preferred.
